Maintenance
Annual maintenance for on-premise DM is calculated at 18% of the total license fees. This was only included years 2 through 5.

Implementation
Includes 20% of the application costs if the firm is upgrading to Matter-Centricity or has no DMS at all. Otherwise no implementation costs are included for the existing on-premise DM. For NetDocuments, implementation costs are mainly the conversion and migration of documents from the existing DM, as no hardware deployment is required. Data conversion costs are only considered for NetDocuments and for a firm that has no DMS.

Training (IT, Trainers, End Users)
Administrative training is calculated at $6,000 for the first office and $3,000 for each additional office for for the on-premise DM. With NetDocuments there is no need to learn and be trained on database optimization, network and security infrastructure to support external users, server redundancy for high availability, full-text search performance, system backup with live users, operating system optimization, client/server configuration issues, and multi-library management. The training is simply the service and the ongoing administration related to security options, configuration, etc. NetDocuments can literally bring the system online in days and any time is dependent upon the firm's schedules and when they wish to go live.

Hardware Costs — First Year — Matter Centric Upgrade
On-premise DM cost was calculated based on the need to purchase 3 more servers to obtain matter centricity at $7,500 per server per office. To determine main offices requiring servers, the TCO takes 75% of total firm offices as an average.

On-premise DM cost was calculated based on the need to purchase the initial servers for an on-premise DMS, plus 3 more servers to obtain matter centricity. Hardware Costs - Years 2-5
For an on-premise system, there is also an ever-increasing storage costs for storage, backup, virus protection maintenance, more ports, etc. connectivity, etc. The TCO includes purchasing more storage servers at $7500 per year for 75% of the total offices. This requires a lot of ongoing, yearly maintenance and effort not calculated in this TCO.

This number is used to estimate the increased cost of maintaining old hardware, and/or the cost of upgrading to new software to meet ever increasing and improving network and communications equipment. It is calculated at 18% of the cost to set up a new network(this cost being, default, $7500 server cost times three servers per large office, time 75%).

Data Site Accelerators
For firms with over 1000 users, data site accelerators are vital to improve broadband speed to offices throughout the world. The costs for Riverbed-type technology is added at $36,000 x total main offices. These costs are over a 3 year period. After three years, 20% of original cost is estimated for years 4 & 5

It Personnel Costs
Labor costs are significant when comparing a cloud computing solution with an in-house solution. Many NetDocuments customers are able to free up resources to pursue other strategic IT initiatives and be used to service their users more effectively. It simply takes less people to manage NetDocuments than an in-house solution, leveraging the hundreds of professionals managing the hosted data centers and the ongoing maintenance and updates of software.

% Full-time employee (FTE) calculated for up to 200 users plus
% FTE for each additional 200 users plus
% FTE for each additional office. Typical support includes Maintaining customization, upgrades, and technical/help-desk support. Cost of US $80,000 base salary plus additional $20,000 uplift for benefits and other overhead for administrators.


Disaster Recovery
Disaster Recovery is not a baseline requirement for deploying an on-premise DMS but since it is built-in the NetDocuments solution, it is added to compare total costs for firms taht have more than 250 users. Disaster recovery consists of the additional required hardware and management of daily backup, mailing tapes and the ongoing management of the process of a traditional implementation. Also includes the rental costs of an offsite location such as Iron Mountain as an example. For NetDocuments, the cost consists of the NetDocuments Local Document Service subscription plus its hardware to provide a redundant LAN-based server Windows 2000 server to receive a synchronized copy of all documents housed at the hosted data center. This is optional but recommended for organizations of at least 50 users or more. The on-premise calculation uses 50% of DM hardware costs to determine the DR costs plus $105,000 for offsite expenses.
