Search within folders - KathyMed

I would like to see the search feature enhanced so you can specify a search in a particular folder within a workspace, not just by document type. For instance, when we get discovery in litigation cases, the discovery received is filed in a separate folder noting who the discovery is from. However, if we want to search to see if a particular party produced something, we do not have the option to search just that folder. If we do a search for documents only, we tend to get a lot more results that we have to sort through that if we could search in that specific folder. If it would be too complex to add that option in the advanced search, then it would also work to have a search box at the top right when you open a folder the same as the search box on the main workspace page.

It would be extremely helpful to us to limit a search to the contents of a specific folder or subfolder. Can this be added as an enhancement? Thanks!!

Add Clients and Matters without CSV upload?
Under Define Profiles Attributes, I like the upload feature if I have several matters to add at once, but often I have maybe one or two to add every few days. It would be nice to have the option to add clients and matters one at a time through a simpler process inside ND.
NetDocuments Feedback :Just an added clarification: Were this to be approved, the design would apply to all table-driven profile fields.

Default sort order for folders
I'd like to be able to set a default sort field for workspace folders. This would allow me to create email folders that are sorted by date, document folders sorted by name etc. Adding a sort by column heading feature that saved the current sort for a given folder would also work.

Create a way for users to set up the default sort method in a folder or in a workspace. If a user chooses to sort by "date modified" and opens a document, the list returns to the default sort and user has to re-select "date modified" again. Could we set up a way for users to create the default - if they prefer to use "date modified", or "modified by", etc. instead of the name?

Increase 500 Document Limit
The 500 document limit when you open a category or folder is too small. In any decent sized litigation case, you are going to have more then 500 documents, especially e-mails. While you can somewhat solve the problem with documents by creating the folders and then subfolders, it is much more difficult to do this with e-mails. Additionally, the number of e-mails in a ligitation matter can surpass 500 in no time. If the size limit cannot be increased, another solution would be to have a "Next 500" button.
NetDocuments Feedback :The NetDocuments search engine has the ability to return more than 500 hits, but displaying more than 500 at a time is not possible (and would be too slow anyway). One possibility would be to continue to display 20 documents at a time but allow the Next link to be clicked beyond the first 500 documents. If we did this, the Sort and View All options would have to be removed for search results that returned more than 500 hits. Is that acceptable?
It would be helpful to us if you could help us understand via your comments why it would be helpful to return more than 500 hits and how they would be used. Our usage statistics show that users very rarely view more than 80 hits when a search returns 500 or more, so we’re unclear on why displaying more than 500 is considered so important.

Add a quick search box to the homepage and other pages
Add a simple search box on the homepage and all other user pages. This would be a fast way for users to find documents directly from anywhere in NetDocs. We could include two buttons below the search field that say "My Stuff" and "Everything." The "My Stuff" button would only search items I've Created and or Last Modified and the "Everything" button would search all content in NetDocuments.

Allow quicker access to a workspace without adding it to your list
Add a client/matter field at the top of the navigation pane or somewhere else on the home page so that if a user wants to quickly see a workspace without going through the steps of adding it to his/her list, they can do so. They would just put in the number and immediately go to that matter in nearly one step rather than the multiple clicks it takes now.
NetDocuments Feedback :This could only work if the user was a member of one cabinet where workspaces are enabled. As soon as he was added to a second cabinet where workspaces are enabled it would disappear, which would be upsetting if the user had become used to using it. For users who are a member of one cabinet where workspaces are enabled this only saves one click compared to the workspaces option at the top of each page (between Recent Docs and Search). Is it worth adding the clutter to save one click?

Orphan Finder
Currently there is no way in netdocs to find files that have been un-filed or "lost" unless you know the name of the file.
I propose some way for users to be able to search for documents have have been accidentally un-filed and exist in no folder and have no tag.
As an admin, I have had several users tell me they have lost files and we know they are in Netdocs but I have absolutely no way to find them.

Adding To and From Columns in the E-Mail Category and Folder as a Default Setting
Although you can add "to" and "from" columns to your e-mail category and folder, it can only be seen from the main workspace page. As soon as you open the category or folder, the "To" and "From" columns disappear. You can use "define display format" to add a sent by column which you can sort by, but you cannot add a "sent to" column (or at least I haven't found one). However, using the define display format changes your settings globally and therefore you then show a modified by column in the same position in all other folders. Since the main ways you sort documents and e-mails are different, you don't necessarily want this change to be global. Additionally, since the main way you find an e-mail you are looking for is by sorting by date, to, or from, it only makes sense that these columns should be part of the default setup for the e-mail Category (not other categories). Basically, as long as you cannot sort by both to and from within the Netdocs category or folder, we have to keep our archived e-mails in the archived folders in Outlook until the matter is closed in order to be able to efficiently access the e-mails. It would be a major improvement if this change was implemented.
NetDocuments Feedback :Just a note with the "To:" (or Sent To:) field for email. Because there can be multiple recipients in the To: field, this will cause those emails to be displayed with the To: field wrapped and taking up a lot of extra space on the category if there are multiple recipients.

Ethical Wall Considerations - Limiting Access
Allow an administrator to limit access to workspaces and their contents merely by modifying the access to the workspace. As currently constituted, this is a multiple step endeavor involving look-up tables and changing access to every item within a workspace. I believe clunky is the word I'm looking for.

Enhance Blackberry/Mobile interface
From a Blackberry, logon is required numerous time in a single session (Login, search, login, open, etc.). Fix this so that the initial login holds for the entire session (or some period of time).

Report listing folders with what file/documents are in that folder
It would be fantastic to be able to pull a report from NetDocuments that list each and every folder, and what files or documents are in that specific folder. Sort of an overview, or snapshot, of what is in NetDocuments.
This would allow for a quick find or a quick audit to make sure each and every folder, or client, has the proper documentation.
It would be nice to be able to pull this report in several different forms, such as PDF or Excel.

Checking in docs when switching ISP's
Currently if you keep your documents open, hibernate your computer, turn your computer back on with another ISP and then check the document back in, it still remains checked out. The temporary workaround is to have userss check ALL docs back in before hibernating.
It would be nice if the document would actually get checked back in when waking the computer on another network.

Email search by domain name
It would be very useful to be able to create a category which included email from everyone at a particular company or with the same domain in their email address. With one click you could see all email from people at that company. Currently, the only way I can see to do this is to add each person's name in the "Email From" line in Search divided by an "OR".

Maybe I am not understanding this, but if you check out a document with a local save and make changes to the document, when you are done with the changes, all you have to do is do a Save As and you get an option to save as a new version of an existing document. If you mark this option, you are then taken to a window like the window if you are attaching a document to an e-mail. You then click on the document you want this document to be a new version of. Am I misunderstanding this idea?

Yes, I agree that it would be nice to have a better save interface in Adobe straight to NetDocs. Unfortunately, we haven't been able to develop that with the programming interface that Adobe offers at the moment. I do think this would be a great idea, and the more votes it gets the better the chances of being able to allocate resources to this. Thanks for the participation!

This is a great idea! This also reduces the likelihood that a user will "accidentally" override an older version of a document when what they really wanted to do was create a new version. Thanks for posting this idea!

Expansion on this good idea. The first report we need is a list of all net binders on the accoutn and who has access to these specific net binders. The second report is an audit activity of thos net binders.
This may actually be an E&O issue, if a external user is granted netbinder access and leaves the external company we may need to exclude them from the netbinder immediately. How do we know all the netbinders they are attached to?

This would make a HUGE difference for us. We need to be able to create workspaces (for us they are "patient charts") quickly and often on a case-by-case basis. Having to use an upload table to create a single patient chart is tedious and time consuming; being able to add the workspace directly would double our efficiency!

Even better, have an option to load the Document ID into a Word document "document property" or "field" (e.g. take over document proprty Status, or make a new DOCVARIABLE DocID). This way you can insert the field code wherever you want in your document and templates, or even not insert it at all and still have the Document ID embedded in the Word file metadata.

Show how many documents are in Workspace folders and subfolders.
Show in parentheses the number of documents that are filed in a particlar workspace folder and subfolder. Outlook does this with the number of un-opened emails and it is very benificial.
NetDocuments Feedback :This would make the display of the workspace page take 5 – 10 times as long. Is this information worth that delay?

Choice for where to auto-insert the document ID number
The current Word plug-in inserts the document ID at the end of a document whenever it is opened. My firm prefers to have the document ID in a footer of a document - not in the body of the document. When I get documents from other law firms, the document ID is always in a footer. I don't recall ever seeing a document ID number from a major law firm in the body of the document on the last page. At a minimu, please give me an easy option to choose where the document ID is inserted - in a footer or in the body of the document.

Show an extra dialog box when saving a doc in Word to remind users to save locally.

One scenario with the Word integration that comes up frequently with our users is the issue when a user already has an IE browser open and they start typing a new Word document. They then hit Ctrl+S and we open a new browser (if their IE settings are set that way). Up to that point, all is well, however...
if they don't want this document saved into NetDocs, they instinctively close the browser thinking that they have to go back and use the Save Local function. However, their document never comes back in Word because they have the other browser still open and we currently have no way to detect which browser they've closed. They do not know they have to close ALL browsers for their document to come back. My suggestion is that we should offer the user an option when they hit Ctrl+S for the first time on a document. We should pop up a dialog similar to the one in Excel that asks them if they want to save it locally or in NetDocs.
I want to hear what our users think about this enhancement. Would the extra dialog asking if you wanted to Save in NetDocs vs. Save Locally be worth the extra click to prevent the seemingly lost document scenario above?

RELEASED - Stop the auto-collapse on the navigation pane
The left hand side "navigation pane" auto-collapses every time you go into a folder, move to a different folder, etc, etc. It is my idea (and requested often) that we stop this from happening and keep the folder tree expanded until the user changes it.
NetDocuments Feedback :One technical note on this enhancement is that you'll need to have IE8 to see the benefit.

It would be good to have the options to print and delete appear when you right click on any document at any level (workspace or folder levels). Currently, when you are at the workspace level, you get the option to open the document and when you are in the folder level, you get the option to open and print. Since these are the three most likely things a person wants to do with a document, it would make sense to have all three options in the right click drop down at any level. Currently, you have to open the folder in order to print or delete the document or actually open the document to print it. It would be one less step if it could also be done from the main workspace with a right click.

If we add these options to the right click menu we will need to take away a couple of other options. Which options that are currently there are seldom used and should be removed?
An alternate approach would be to provide the set of options we provide today as a default, but provide in My Account a list of all options so a user could designate which ones to show on their right click menu. They could customize it to show whichever 8 or so options they wanted.
Another approach would be to use right click submenus and show all options such as below. Should Mark/launch be its own menu - not a submenu? Your opinions on any of these methods is appreciated. A variation of this would be to show what we have today with an additional option at the bo0ttom of the list that says "Show All". When that option is selected, it will show the complete list as shown below.

Since every user has a different work process the ability to customize the "right click" menu would be incredibly helpful. A user could go to the "my account" option and select which options he/she wants to appear when they right click on a document.

I want my NetDocuments home page to open with a specific folder tree on the left already expanded and a choice of whether or not the expansion remains or whether it is to be collapsed (maybe with a push pin or "x"??) ~ especially when doing multiple searches.

Client-Matter Search in addition to Document Search.
I have one attorney that insist there should be a way for him to enter a key phrase or name and the search result return a list of all client- matter numbers that contain that phrase or name. He would then be able to click on the desired client-matter and go directly to that workspace. I know you can currently do an Advanced Search for a name and get a list of all documents with that name. From the list you can select one document, go to Other Options and then select Go To Workspace, but he says that is to many steps. He would like to see a simple search option that produces a list of Client-Matters similar to the current Simple Search that produces a list of documents.
